Terms of service

1. The agreement

These terms are between you, the business that subscribes to PumpCoPilot, and legal name of the business ("we", "us"). By subscribing to or using PumpCoPilot you accept them.

2. The service

PumpCoPilot is software for keeping a petrol pump's books: shifts, sales, stock, purchases, cash, bank, staff, payroll and reports. It is used in a web browser and through apps for Android and Windows. It needs an internet connection; nothing can be entered offline.

We add to the service and change it over time. We will not take away something you depend on without telling you beforehand.

3. Your account and your users

  • You decide who in your business gets a login and which role each has, and you answer for what they do with it.
  • Keep passwords private, and make a user inactive when they leave.
  • Tell us at once if you believe someone has got into your account who should not have.

4. Price and payment

  • The service is charged for each petrol pump, by the month, at the price on the pricing section or the one we agreed with you in writing.
  • Each month is paid for in advance. GST is added to the price / the price includes GST.
  • If a payment is more than 15 days late, we may suspend access until it is made. Your data is kept while access is suspended.
  • We may change the price with at least 30 days' notice. The new price applies from your next month after the notice.

Cancelling and refunds are covered by the refunds and cancellation policy, which is part of these terms.

5. Your data

  • What you enter in PumpCoPilot is yours. We claim no right in it and use it only to provide the service to you, as the privacy policy describes.
  • You answer for its being right, and for having the right to keep the details of your customers, suppliers and employees that you enter.
  • You can take a copy at any time: every report downloads for Excel, and one button gives every report in a single workbook.

6. Messages

Invoices, reminders and daily summaries are sent by SMS or WhatsApp through a messaging provider's account. That provider's own terms and charges apply to the messages. You answer for sending messages only to people who may lawfully be sent them.

7. What you must not do

  • Use the service to break a law, or to keep books meant to deceive.
  • Try to reach another customer's data, or to get around the limits of a role.
  • Copy, resell or reverse-engineer the software, or let someone outside your business use your account.
  • Load it in a way meant to harm it or to slow it for others.

8. Availability and support

We work to keep the service running at all hours and take a backup of the database every night, but we do not promise that it will never be interrupted. Planned maintenance is announced beforehand where it can be. Support is given by email and phone during the hours on the contact page.

9. The figures are yours to check

PumpCoPilot works its reports and statements out from what is entered. It is a tool for keeping books, not tax, legal or accounting advice. Have your returns and year-end accounts checked by your accountant.

10. Liability

The service is provided as it is. To the extent the law allows, we are not liable for loss of profit, loss of business or other indirect loss, and our total liability to you in any twelve months is limited to what you paid us in those twelve months. Nothing here limits a liability that the law does not allow to be limited.

11. Ending the agreement

  • You may cancel at any time, as the refunds and cancellation policy describes.
  • We may end the agreement if these terms are seriously broken and the breach is not put right within 15 days of our asking, or at once where the law requires it.
  • After the agreement ends, your data is kept for 30 days so that you can take a copy, and is then deleted.

12. Changes to these terms

When these terms change, the new ones are put on this page with their date, and customers are told by email at least 30 days before a change that matters takes effect. Using the service after that date means you accept them.

13. Law and disputes

These terms are governed by the laws of India. The courts at city, state have jurisdiction over any dispute under them.
